Counselling practice management software, and the practice around it

Everything a practice does for you. None of what it takes from you.

In a group practice you hand over 30 to 40 percent for a receptionist, a room and someone chasing invoices. Zenvia does the booking, the reminders, the files, the billing and the chasing for 10 percent — and you choose the room, whether that's telehealth from home or a space you rent by the hour.

01

Front desk

Live availability, online self-booking, SMS and email reminders, waitlists and cancellation rules. Clients book themselves; you just turn up.

02

Client files

Intake, consent, risk flags, treatment plans and every session note in one confidential file that's ready before the client is.

03

Telehealth

Secure telehealth built in — no downloads for clients, session timer, notes open beside the call. Your rooms, anywhere.

04

Billing

Card payments, receipts, sliding-scale rates, and NDIS, EAP and private health invoicing sent and chased for you. An end-of-quarter view your accountant will accept.

05

Practice admin

Multi-practitioner scheduling, audit-trailed session notes ready for supervision, and admin reporting when you grow beyond one.

Steve Daniel, founder of Zenvia

Why Zenvia exists

I've spent 20 years running technology and cybersecurity for Australian health and disability organisations, and sat on the board of one. What I kept seeing was good practitioners losing evenings to admin and a third of their income to a practice they didn't own. Zenvia is the practice I'd have wanted them to have.

The alternative

Running a practice yourself costs more than you think.

Here's what a working practice needs, and what it costs when you buy each piece separately.

What a working practice needs, doing it yourself versus with Zenvia
Need Doing it yourself With Zenvia
Rooms or telehealthRoom hire $25–60 a session, or a leaseTelehealth included; hire a room only when you need one
Reception & remindersA receptionist, or you, between clientsSelf-booking, reminders, cancellations handled
Invoicing & chasingYour eveningsSent, tracked and chased automatically
NDIS / EAP / private health billingSpreadsheets and portalsInvoiced from the client file, sent and chased automatically — funders needing their own claims portal, ask us first

Insurer-ready recordsYour responsibilityAudit trail on every file

Or join a group practice and hand over 30 to 40 percent — plus their hours, their rooms and their caseload rules.

Live reception staff are coming as we grow. Founding practitioners get it first, at the same 10 percent.

Session notes

Finish your notes before you leave the room.

Zenvia drafts a structured note from your session. You review, edit and sign. The clinical judgement stays yours; the typing doesn't.

  • Your format, not oursSOAP, DAP or your own template — notes come back in the structure you already write in.
  • Nothing files itselfEvery draft waits for your review and signature, with a full audit trail of edits.
  • Follow-up suggestedRelevant worksheets from the tools library are proposed for between-session work.

What the AI does and doesn't do

The honest answers, before you ask.

Bringing AI near a therapy room is a serious decision. Here is exactly how it works, in plain terms.

Is my session recorded?

Only if you turn it on for that session, with client consent captured first. Audio is transcribed, the draft is produced, and the recording is deleted. You can also work from your own typed points and never enable audio at all.

Is client data used to train AI models?

No. Never — not by Zenvia and not by our model providers. It is contractually excluded from training, and it is not sold, shared or used for anything except producing your draft.

Does the AI make clinical decisions?

No. It structures what happened into your note format. It doesn't diagnose, assess risk or contact clients, and nothing enters the record until you have read and signed it.

What do I tell my client, and my supervisor?

We give you a plain-language consent script and a one-page explainer to hand to clients, plus an access and edit log you can bring to supervision or your insurer. Get the consent script →

What happens to my data if I leave?

Export your full client file set any time, in a readable format. No lock-in and no exit fee.

Pricing

You keep 90 percent. That's the arrangement.

No subscription, no per-seat fee, no add-on modules. Ten percent of what you bill through Zenvia covers the whole practice — every feature, every client. A quiet month costs you almost nothing, and we only do well when you do.

10%
of billings. You keep 90%.

  • Front desk, client files, telehealth, billing, session notes, tools library — all included
  • SMS reminders and client portal at no extra cost
  • Unlimited clients, notes and resources
  • Free migration and onboarding support
  • No lock-in, no exit fee, export your records any time

Billed monthly on everything invoiced through Zenvia, referred clients and your own alike. Bill nothing, pay nothing.

Compared to a software subscription, 10 percent is more in a busy month. Compared to the 30 to 40 percent a group practice takes for rooms and reception, it isn't close. That's the deal: we run the practice, you keep 90 percent, and in a quiet month we barely earn at all.

Indicative only. Assumes 4.33 weeks a month, a 30% group-practice split, and that Zenvia absorbs roughly three quarters of the admin hours a practice currently carries.
